Office Assistant

St. Stephen’s Episcopal Church, a historic, vibrant, welcoming church in Oxford, NC, a charming small town within the embrace of Research Triangle, seeks a parttime Office Assistant (~10 hrs/ week) to support the Rector and parishioners, through carrying out administrative tasks for the church.

We are looking for someone who communicates clearly with all church members and staff; and who understands how to do administrative work under the supervision of the Rector, and who can work with a variety of types of people in the parish and those who come through our doors. While experience in the Episcopal Church is not necessary, it’s certainly a plus.

Primary Responsibilities

The Office Assistant will be a resource person for both members and non-members, as well as a welcoming and responsive presence in our church’s office.

Information Management

  • Keep website and social media current, as well as work with other parish IT and A/V needs
  • Maintain and update a functional system of communication with the parish, including weekly newsletter
  • Produce reports, directories, and other documents from parish records under the direction of the Rector and Treasurer in a timely manner
  • Coordinate the parish calendar to facilitate building use by internal and authorized external groups
  • Assist with preparing and distributing marketing materials, as directed

Administrative Support

  • Provide administrative support to the Rector, including vetting those requesting financial assistance from the church
  • Provide a welcoming and helpful presence in the parish office
  • Respond to requests for information and resources via email, telephone, and in-person visits
  • Provide administrative support to the Vestry and other committees, including preparing meeting documents, posting minutes, making document copies, and sending out mailings
  • Manage access to the building and oversee rental agreements with guidance from the Rector
  • Communicate with the Sexton about building cleaning needs
  • Coordinate with vendors as delegated by the Rector, Wardens, and Building & Grounds Committee
  • Sort incoming mail and send parish mailings and other outgoing mail
  • Maintain and manage parish calendar
  • Assist in coordinating and scheduling volunteers as needed under the direction of the Rector or committee leadership
  • Coordinate with bookkeeper and other parish employees as necessary

Liturgy Support

  • Work with Rector in the preparation and printing of bulletins and other worship materials
  • Prepare flower donation information
  • Coordinate lay ministry schedules and send reminders as scheduled
  • Assist with tracking the liturgical calendar and planning church events, as needed.

Knowledge, Skills, and Abilities

  • Strong writing and grammar skills, including proofreading
  • Proficiency in word processing, spreadsheet, and database applications
  • Demonstrated organizational skills, including calendaring, project coordination, and prioritization
  • Ability to effectively manage workload in a varied-paced work environment
  • Ability to maintain confidentiality at all times regarding persons and information
  • Maintain a welcoming disposition, along with willingness to accept and serve all who come to
    St. Stephen’s
  • Must be able to lift 20 pounds

Time Commitment and Compensation

Flexible weekday schedule

~10 hours/ week, flexible days and hours, on site (mostly), though some time will need to be toward the end of the week on Thursday or Friday to finish preparing worship materials for Sunday

This person will work closely with our Rector and Vestry. Compensation for this position starts at $10,000/ year.
